- 50% reduction in approval time
Schneider Electric had established an Open Source Program Office (OSPO) to support its innovation strategy. However, the company faced significant challenges due to the absence of a scalable process for managing open-source contributions. This lack of clear guidance for contributors discouraged participation and created confusion across teams, impeding their strategic goals. The existing fragmented, manual process hindered the OSPO's overall effectiveness and potential. A fully automated intake and review workflow was designed and implemented using the Microsoft Power Platform. This system leveraged Power Automate, MS Forms, and macro-enabled Excel to route submissions to appropriate stakeholders, significantly reducing manual effort and ensuring consistent evaluations. Cross-functional alignment was achieved by streamlining communication with representatives from Engineering, Legal, Cybersecurity, Marketing, and IT. GitHub was also introduced as a centralized publishing platform, alongside embedded success-tracking tools to foster long-term adoption. The new system successfully reduced approval cycle times by 50%, leading to increased contributor satisfaction and improved alignment across technical and business teams. Contributors reported significant improvements in ease of use and clarity, while leadership gained real-time visibility into the strategic value of submissions. This transformation from a manual, fragmented process to an automated workflow brought the OSPO to life. The implemented system now enables the company to scale open source contributions and enhance its reputation as an industry leader.
